Job Description Job Description The Experience Collection Small
Group Travel Manager leads the development and execution of
Exclusive Resorts’ Group Travel Collection, including
Once?in?a?Lifetime (OIAL) Journeys, European Villas, and Member
Events. This role blends product development, partner management,
on?the?ground hosting, and operational oversight to deliver
exceptional luxury travel experiences. Approximately 40% domestic
and international travel is required. Key Responsibilities Program
Development & Partner Management Research destinations, industry
trends, and supplier capabilities to inform new trip concepts.
Develop new OIAL Journeys, European Villa experiences, and Member
Events, including ideation, research, presentations, and itinerary
design. Conduct international site inspections with partners to
finalize Member?ready itineraries. Build and manage budgets; price
programs to meet margin targets while maximizing Member value.
Negotiate and maintain vendor contracts in partnership with Legal.
Collaborate with Marketing to ensure accurate, compelling
Member?facing content across all channels. Represent Exclusive
Resorts at industry conferences and support Sales and Ambassador
teams with program expertise. Address and resolve Member concerns
when escalated. Program Execution Serve as the subject?matter
expert for assigned programs and oversee all operational
components. Partner with Trip Leads on manifests, timelines, and
trip logistics. Manage budgets, vendor relationships, and weekly
communication with tour operators. Oversee billing accuracy and
coordination with Operations and Accounting. Draft Member
communications and pre?trip information. Host the first departure
of each new program (1–3 international trips annually). Review and
respond to post?trip surveys to drive continuous improvement.
General & Administrative Support Participate in weekly team and
company meetings. Oversee creation of travel binders for site
visits, executive travel, and Member trips. Manage vendor payments
and support development of experience?related webinars. Work onsite
in the Denver office at least two full days per week. Travel
internationally for 10–14 days at a time as needed. Billing &
Financial Oversight Manage all experience billing, including
spreadsheets, accounting notifications, cancellations, and refunds.
Oversee vendor payment requests and maintain billing reminders.
Participate in monthly budgeting meetings and track upcoming
payments. Qualifications 5–10 years of group travel planning
experience. Bachelor’s degree or equivalent experience. Background
in luxury travel, hospitality, event management, or high?end
customer service. Strong network of DMCs and luxury travel
suppliers. Excellent written and verbal communication skills;
polished professional presence. Experience working with affluent
clientele. Highly organized, detail?oriented, and adaptable in a
fast?changing environment. Proactive approach to trip management
and problem?solving. Proficiency in Microsoft Outlook, Word,
PowerPoint, and advanced Excel; Salesforce and SharePoint a plus.
The ability to handle other duties as assigned, or as the business
needs change.
